Position Overview
As a Service Estimator I - HVAC, you'll play a vital support role in the Service Department by preparing accurate, timely, and profitable pricing proposals for HVAC service, repair, maintenance, and replacement projects. You will work closely with Service Technicians, customers, and vendors to develop competitive estimates while ensuring full compliance with contractual requirements. This entry-to-mid-level position is ideal for a detail-oriented, customer-focused individual who is eager to build technical estimating skills in a dynamic, fast-paced service environment.
Duties And Responsibilities
- Prepare precise and competitive cost estimates and pricing proposals for HVAC service projects, including repairs, preventive maintenance, and unit replacements.
- Collaborate with Service Technicians to gather accurate job details, scope of work, and site-specific requirements for estimating.
- Ensure all proposals and pricing documents fully comply with contractual, regulatory, and company standards.
- Engage with customers to understand their needs, provide clear pricing information, address inquiries, and build positive relationships.
- Work with vendors to obtain competitive pricing and ensure timely material availability for service projects.
- Utilize Microsoft Outlook, Word, and Excel to create professional proposals, manage communications, and maintain accurate records.
- Adapt quickly to changing priorities and manage multiple estimates and tasks efficiently in a fast-paced environment.
- Maintain organized records of estimates, proposals, and customer interactions to support smooth project transitions and billing.
- Continuously learn HVAC equipment, materials, repair methods, and estimating best practices to improve accuracy and efficiency.
Supervisory Responsibilities
None (individual contributor role with strong collaboration across the Service team).
Requirements/Qualifications
- Experience: 2–4 years of experience in HVAC service estimating, inside sales, project coordination, or a related administrative/technical support role.
- Education: High school diploma or GED required; technical training or associate degree in HVAC, mechanical systems, or a related field preferred.
- Certifications/Licenses: Valid driver’s license and clean driving record required; EPA 608 certification a plus.
- Physical Demands: Primarily office-based with occasional job-site visits for estimate walks; ability to walk active sites and lift light materials as needed.
- Work Environment/Safety: Professional office with hybrid options and occasional active job sites; must adhere to safety protocols and wear required PPE when on-site—safety is our top priority and non-negotiable. This is a safety-sensitive position.
