We are seeking a knowledgeable and customer-focused HVAC Parts Associate to join our team. In this role, you will be responsible for assisting technicians
with ordering & tracking HVAC parts, processing warranties and scheduling the repair jobs. The ideal candidate has a solid understanding of HVAC systems, strong organizational skills, and a commitment to excellent service.
Job Duties:
- Verifying warranties
- Ordering parts
- Updating customers
- Coordinating parts pickup and delivery
- Scheduling parts calls
- Keep track of and processing warranties
- Assist technicians in identifying and selecting appropriate HVAC parts
- Process orders accurately and efficiently via phone, email, or in person
- Coordinate with vendors and suppliers to source parts and track backorders
- Provide exceptional customer service by answering questions, resolving issues, and offering product recommendations
- Use parts lookup systems, catalogs, and software tools to locate and verify part information
- Collaborate with service technicians, warehouse staff, and other departments to ensure smooth workflow
Qualifications:
- High School Diploma or GED required; technical training in HVAC is a plus
- 1–3 years of experience in HVAC parts, inventory management, or a related field
- Basic understanding of HVAC components and terminology
- Proficiency with inventory software, point-of-sale systems, and Microsoft Office
- Excellent communication and interpersonal skills
- Strong attention to detail and organizational abilities
- Dependable, self-motivated, and able to work both independently and as part of a team
- Positive energy and enthusiasm to drive sales and company growth
- Ability to prioritize, set goals, manage multiple tasks, and handle strict deadlines
- Ability to communicate effectively and professionally with technicians, peers, managers, customers, vendors and others
- Strong organizational, planning and critical thinking skills
- Ability to master all software used in business operations
- Self-motivated to complete assigned tasks within given time constraints
- Excellent written and verbal communication skills
