Job Summary - Reporting to the Chief Operating Officer the Property Manager is responsible for the comprehensive oversight and management of a portfolio of office, retail, and industrial properties. This role serves as the primary point of contact for tenants and all property related matters. The Property Manager performs all routine inspections and supervises maintenance activities, vendor contracts, and common area services. This position will work with the leasing administrators, internal leasing broker, maintenance technicians, and construction team to ensure properties are well maintained, the terms of the lease are followed, tenants matters are satisfied, and rent is collected.
Essential Functions (Tasks, Duties and Responsibilities)
• Administer leases and ensure all tenant-related matters, including buildout projects, adhere to lease terms and quality standards.
• Serve as the primary point of contact for tenant inquiries and issues, facilitating prompt resolutions.
• Oversee common area maintenance to ensure property aesthetics and functionality are maintained at high standards.
• Supervise the Maintenance Technicians to promptly address property repairs and improvements.
• Create work orders, track costs, and verify completion of all orders for the property.
• Monitor, operate, and optimize Building Automation Systems (BAS), including HVAC controls, access control, lighting automation, and energy-management platforms
• Coordinate with mechanical contractors to ensure proper operation, maintenance, and repair of HVAC, refrigeration, and other critical building systems.
• Manage billing and rent collection processes, ensuring accuracy and timeliness in financial transactions.
• Prepare financial reports detailing property performance, occupancy, and revenue.
• Develop a comprehensive inspection process for properties; complete weekly, monthly, quarterly, annual inspections as required.
• Conduct routine inspections of properties to ensure adherence to safety, regulatory, and lease requirements.
• Prepare Request for Proposals (RFPs) for contracts related to property management services, create purchase orders, and provide recommendations to management for approval.
• Oversee vendor relationships and prepare scope of work criteria to secure cost-effective, high-quality services.
• Evaluate contract performance and negotiate terms to align with budgetary and operational goals.
• Prepare annual capital improvement budgets and recommendations.
• Provide and foster positive relationships with tenants, external service providers, maintenance technicians, and coworkers.
• Participate in leasing, property management, and maintenance team meetings and ensure effective communication and cooperation.

• Strong understanding of commercial mechanical systems, including HVAC, chillers, RTUs, exhaust systems, and associated controls.
Minimum Qualifications (Required experience, education, special skills, licenses and/or certifications)
• Minimum 5 + years of commercial property management experience
• Strong working knowledge of commercial buildings and equipment
• Experience working with building automation platforms such as Trane, Carrier, or similar system
• Hands-on experience coordinating maintenance and troubleshooting of commercial HVAC and mechanical systems.
• Strong client/customer service skills
• Valid Florida Driver’s License and excellent driving record. Must meet and maintain requirements to be insured by Employer’s commercial insurance carrier throughout duration of employment
Preferred Qualifications but Not Required
• CPM, RPA, or CSM designations
• Degree in business administration, finance, real estate, engineering, or similar
