Purchasing Manager
Position Summary:
The Purchasing Manager plays a critical role in supporting boiler service and installation operations by managing all purchasing activities through NetSuite. This role is responsible for procuring equipment, parts, materials, and services required for field operations while maintaining strong vendor relationships, cost controls, and accurate procurement records.
Key Responsibilities:
Purchasing & Procurement Operations:
• Manage the end-to-end purchasing lifecycle in NetSuite, including requisitions, purchase orders, vendor records, and receipts.
• Create and issue purchase orders for all vendors in a timely and accurate manner.
• Collaborate with operations, service, project management, and warehouse teams to understand procurement needs and ensure timely fulfillment.
• Research, evaluate, and source suppliers; negotiate pricing, terms, and delivery schedules.
Inventory & Receiving:
• Monitor inventory levels and initiate reorders to prevent stockouts while optimizing carrying costs.
• Ensure all receivers and packing slips are accurate at the time of delivery.
• Prepare, review, and maintain all paperwork related to the receipt of materials and equipment.
• Maintain vendor inventory records and follow up on shortages, damages, or discrepancies.
Vendor & Financial Coordination:
• Maintain accurate vendor information within NetSuite.
• Review vendor invoices for accuracy and ensure timely processing.
• Coordinate with Accounts Payable to resolve invoice discrepancies.
• Track vendor performance related to pricing, quality, and delivery.
Reporting & Process Improvement:
• Monitor purchasing trends and costs to identify savings opportunities.
• Implement procurement best practices and process improvements.
• Ensure compliance with company purchasing policies.
General Responsibilities:
• Maintain organized procurement records.
• Support audits and internal reviews.
• Perform other duties as assigned.
Qualifications:
Required:
• Experience in purchasing or procurement, preferably in industrial or mechanical environments.
• Hands-on experience with NetSuite or similar ERP systems.
• Strong organizational, communication, and negotiation skills.
Preferred:
• Experience in boiler, HVAC, or mechanical services.
• Knowledge of inventory management best practices.
