Position Summary
The Commercial HVAC Estimator / Project Manager is responsible for preparing detailed cost estimates for commercial HVAC projects while supporting project coordination from award through closeout. This role focuses on performing takeoffs, developing project pricing, defining scope, and coordinating with vendors, subcontractors, and internal teams.
In addition to estimating responsibilities, this position supports project administration tasks including documentation, scheduling coordination, and cost tracking. The role is primarily office-based with occasional field visits to verify conditions, attend pre-bid meetings, or assist with project coordination.
Key Responsibilities
This position includes reviewing project drawings, specifications, and bid documents to develop accurate cost estimates for commercial HVAC systems. The estimator performs detailed labor and material takeoffs, prepares proposals within bid deadlines, and solicits quotes from vendors and subcontractors.
Responsibilities also include evaluating vendor pricing, clarifying scope and exclusions, and maintaining estimating templates and historical cost data. The role participates in bid reviews and project handoff meetings with operations to ensure estimates are clearly communicated.
Once projects are awarded, the position assists with administrative project coordination including documentation, job cost coding, RFIs, submittals, change order tracking, and project closeout. The role also helps coordinate procurement schedules, maintain organized project files, and support communication between field teams, vendors, and leadership throughout the project lifecycle.
Required Qualifications
- Minimum 5 years of commercial HVAC estimating experience
- Working knowledge of commercial HVAC systems, materials, and installation practices
- Ability to interpret construction drawings, specifications, and mechanical schedules
- Experience with HVAC estimating software such as FastEST, QuoteSoft, Trimble, Bluebeam, or similar platforms
- Strong organizational, documentation, and time management skills
- Proficiency in Microsoft Office and digital plan takeoff tools
- Valid driver's license with an insurable driving record
Preferred Qualifications
- Experience supporting projects from preconstruction through closeout
- Familiarity with subcontractor buyout processes and vendor coordination
- Basic understanding of project scheduling and cost tracking
- Associate's or Bachelor's degree in Construction Management, Engineering, or related field, or equivalent experience
