Position Summary
The principal responsibility of this position is to assist in managing the day - to - day office operations for our properties in NYC-OVA and 340 Madison. Approximately 300k sqft/800 employees.
In-Office Requirement: 5 days per week
Responsibilities
Office Management
- Assist with the management of day-to-day office operations of 300k sqft. across 8 floors and three buildings throughout mid-town Manhattan.
- Manage office seating software. Performs office seating scenarios for management. Works closely with Human Capital to ensure new employees are assigned seats.
- Manage domestic copier fleet for US offices (32 copiers)-ensure production needs are met, contracting, and invoicing approval.
- Serves as a point of contact w/ Building Management on day to day matters pertaining to physical office space (maintenance, security, HVAC, etc.).
- Manage all space assignments and physical moves.
- Address and helps resolve day to day employee and building matters: lock-outs, lost keys, guest management, leaks, equipment failures, etc.
- Ensure mailings, document production, etc. duties performed by the office services team are timely, accurate, and organized.
- Ensure that office common areas are organized, fully stocked, clean, etc. at all times.
- Participate in new hire on-boarding covering emergency preparedness, Carlyle/OVA security, office policies and procedures, amenities (Vandy Club and Summit).
Requirements
Education & Certificates
- Bachelor's degree preferred
Professional Experience
- 5-10 years of relevant office experience, required
- Experience as either an Office Manager or assistant manager, preferred
- 3+ years supervisory experience, with proven ability to lead by example, inspire confidence, and lead a team to meet deadlines and deliverables, preferred

- Excellent written and oral communication skills; ability to deal with strong and diverse personalities and drive consensus as required

Benefits/Compensation
The compensation range for this role is specific to New York, NY and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.
The anticipated base salary range for this role is $90,000 to $110,000.

Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
